But pulling it off well requires more logistics than a typical venue wedding, and the tent is the single most important piece of the puzzle.

Here's what you need to know.

Is a Tent Strictly Necessary?

Not always — but for most outdoor weddings in Rhode Island, it's the right call. Our weather is genuinely unpredictable from May through October. A June day can be 85°F and sunny at noon and storming by 5pm. A tent gives your guests shade during the afternoon heat, a defined gathering space, and complete protection if the weather turns.

Even if you're betting on a sunny day, guests — especially older guests — appreciate having a covered area to sit, eat, and socialize. If you have any doubt, the answer is almost always: get the tent.

How Much Space Does a Wedding Need?

Weddings typically need more space per guest than casual parties because you have a dance floor, a head table or sweetheart table, a bar, and a serving area in addition to guest seating.

Here's a realistic planning guide:

  • 30–40 guests: Our 20×30 tent works well if you keep the layout simple. No dance floor or a very small one.
  • 50–70 guests: Our 20×40 tent is the right fit, giving you room for seated dinner plus a modest dance floor or buffet area.
  • 70+ guests: You may need two tents or a custom arrangement. Call us to talk through your layout.

One thing couples consistently underestimate: the ceremony space. If you're doing the ceremony outdoors (outside the tent) and then moving guests inside for the reception, that's straightforward. If you want the ceremony under the tent, you'll need significantly more space than the guest count alone suggests.

The Setup Timeline for Wedding Tents

For weddings, we almost always recommend setting up two days before the event — or at minimum, the day before. Here's why: once the tent is up, you have a full day to decorate, hang lights, set the tables, and deal with any last-minute issues without rushing.

A typical wedding tent timeline looks like this:

  • Two days before: Tent structure goes up. You have the space to work in.
  • Day before: Tables and chairs go in. Florist, caterer, and decorator can access the space.
  • Wedding day: Final touches only. The heavy lifting is done.

Essential Add-Ons for Wedding Tents

String Lights

This is the single most impactful upgrade for a wedding tent. String lights hung overhead transform the space at dusk — suddenly you have something that photographs beautifully and feels genuinely romantic rather than just "functional." We strongly recommend string lights for any evening reception.

Sidewalls

Sidewalls serve two purposes: weather protection and privacy. For weddings, privacy is often the bigger draw — sidewalls give the event a defined, intimate feel and keep the space feeling like its own world rather than just a backyard with a roof. They also provide a barrier against wind, which is particularly relevant for coastal areas like Barrington or Bristol.

The Surface Requirement

Our tents require grass. Before you commit to a backyard wedding location, confirm that the setup area is grass and large enough for your tent size plus a few feet of clearance on each side. If the yard has a patio, the tent can be positioned adjacent to it — guests can move between the patio and the tent — but the tent itself needs to be on grass.

Permits

Rhode Island municipalities vary on this. Some towns require a permit for temporary structures over a certain size; others don't. It's worth a quick call to your town's building or zoning department to confirm. In our experience, most small-to-medium backyard weddings don't require permits, but it's better to check early.

Plan for the Unexpected

The best outdoor weddings have a clear answer to every "what if." What if it rains? (Tent with sidewalls.) What if it's hot? (Shade from the tent plus a fan.) What if guests need a quiet spot? (A separate seating area outside.) Having these answers ahead of time lets you relax on the day itself.
